What happens when a tenant accepts the invitation?

When a tenant accepts your invitation, they create their PremioKey account (if new) and digitally accept the lease terms. You'll receive a notification, and the lease status will change to 'Active'. The tenant can then view their lease details and make rent payments.

Can I manage multiple properties?

Yes! Depending on your subscription tier, you can manage multiple properties. Navigate to Properties to see all your listings. Each property can have its own lease, settings, and tenant assignments.

How do I import my properties?

Go to Properties in your dashboard and click 'Import Properties'. Download the CSV template, fill in your property details (name, address, type, rent amount, etc.), then upload the file. The import wizard will guide you through validation, duplicate detection, and final import. Import limits vary by subscription tier: Freemium (1 property), Starter (5), Growth (10), Pro (25), Enterprise (unlimited).

How do I import tenants?

First ensure your properties are imported. Then go to Tenants and click 'Import Tenants'. Download the tenant template CSV, fill in tenant details (name, email, property name, lease dates, rent amount), and upload. The system will match tenants to properties and detect duplicates. Tenant import requires at least a Starter subscription. You can choose to send invitations immediately or later.

What CSV template do I need?

PremioKey provides downloadable CSV templates for both properties and tenants. Click 'Download Template' in the import wizard to get the exact format. Templates include all required fields (marked with *) and optional fields with examples. The template includes column headers and sample data to guide you.

What happens if I have duplicate properties or tenants?

The import wizard automatically detects duplicates before importing. For properties: same address = exact duplicate (you can update existing or skip). For tenants: same email + same property = exact duplicate (skip), same email + different property = multi-property tenant (link to existing). The wizard shows color-coded warnings (red=exact, amber=email match, blue=possible typo) and lets you resolve each duplicate before proceeding.

Can I import historical lease data?

Yes, but limits depend on your subscription tier. Freemium/Starter: Current month only (30 days). Growth: Current year (365 days). Pro: Up to 3 years (1095 days). Enterprise: Unlimited historical data. The system automatically filters historical data based on your tier and shows what will be imported in the preview step.

What if my CSV upload fails?

The import wizard validates your CSV before importing. If validation fails, you'll see specific errors with row numbers and field names. Common issues: missing required fields, invalid email formats, date format errors, or property name mismatches. Fix errors in your CSV and re-upload, or use the inline editor to correct individual rows.

How do I know which step failed during import?

The import wizard shows progress at each step: Upload → Preview → Validation → Duplicate Resolution → Import. If a step fails, you'll see a clear error message indicating: 1) Which step failed (upload, validation, or import), 2) Which rows had errors, 3) What the specific problem was. You can fix errors and retry without losing your progress.

Can I import tenants without sending invitations?

Yes! During tenant import, you can choose 'Send invitations now' or 'Send invitations later'. If you choose later, tenants are imported with IMPORTED status and you can send invitations individually from the tenant list. This is useful when migrating data before tenants are ready to join.

What data can I import for properties?

Property import includes: name, address, type (residential/commercial/industrial), units, bedrooms, bathrooms, square feet, asking rent, asking deposit, currency, status (available/rented/maintenance/unavailable), amenities (comma-separated), and description. Required fields are name and address. All others are optional but recommended for complete records.

What data can I import for tenants?

Tenant import includes: property name (to match existing property), tenant name, email, phone (optional), lease start date, lease end date, rent amount, deposit amount, payment due day (1-28), and currency. All fields except phone are required. The system uses lease dates to determine tenant status (current, expired, terminated).

How does the system handle expired leases during import?

The import wizard intelligently categorizes leases: Current leases (start 90 days) import as TERMINATED status (archived). This keeps your active tenant list clean while preserving historical data.

What if my property names don't match exactly?

The tenant import requires exact property name matches (case-insensitive). Before importing tenants, ensure all properties are imported first. If a tenant's property name doesn't match, you'll see a validation error with the row number. Update the property name in your CSV to match exactly, or create the missing property first.

Can I update existing properties during import?

Yes! When importing properties, if duplicates are detected (same address), you can choose to 'Update existing' instead of 'Create new'. This updates the existing property with new data from your CSV. Useful for refreshing property details or correcting information.

What happens if I exceed my tier's import limit?

The import wizard enforces tier limits automatically. If you try to import more than your tier allows, only the first N rows (based on your limit) will be imported. How do I track which data came from imports?

Very large imports are processed in batches to ensure reliability. You'll see a success message with import summary when complete.

Will I lose data if import fails partway through?

No! PremioKey uses transactional imports - either all rows succeed or none do (for each batch). If import fails, no partial data is saved. You'll see which rows failed and can fix errors before retrying. This prevents data corruption and ensures data integrity.

Can I re-import the same CSV file?

Yes, but duplicate detection will flag existing items. If you re-import the same data, the wizard will detect duplicates and ask how to handle them (skip, update, or create new). This is useful if you need to refresh data or fix previous import errors.

What does 'All Clear' mean on my dashboard?

The 'All Clear' status is a positive indicator showing that everything is on track with your portfolio. It means you have no expiring leases, no upcoming payments requiring attention, and no overdue payments. This is designed to give you peace of mind - you can trust that we'll alert you when something needs your attention.

Why is there a 'Lease Expiring Soon' alert?

This alert appears when you have leases ending within 30 days. It reminds you to discuss renewal with your tenants or prepare for move-out. Click 'View Expiring Leases' to see all affected leases and take action.

What should I do about overdue payments?

Overdue payment alerts show invoices past their due date. Click 'Review Overdue Payments' to see all overdue items. From there, you can send reminders to tenants, record payments if already received, or start your late payment process.

Can I dismiss dashboard alerts?

Yes, you can dismiss expiring lease and upcoming payment alerts by clicking the X button. Overdue payment alerts cannot be dismissed as they require action. Dismissed alerts will reappear if new items meet the alert criteria.

How often are dashboard alerts updated?

Dashboard alerts are updated in real-time whenever you load or refresh your dashboard. They reflect the current state of your portfolio including all leases, payments, and invoices. You'll always see the most up-to-date information.

What are the celebration pop-ups I see?

PremioKey celebrates your milestones with fun pop-up messages! You'll see these when you achieve key goals like adding your first property, creating your first lease, or confirming your first payment. These celebrations only appear once per milestone and are designed to make your property management journey rewarding.

Congratulations! This celebration appears when you successfully add your first property to PremioKey. It marks the beginning of your property management journey with us. You'll see similar celebrations for other milestones like your first lease and first confirmed payment.

How is mid-month rent calculated for new tenants?

When a tenant moves in mid-month, we automatically calculate the prorated rent. The first invoice reflects the partial period from move-in date to month-end, calculated as (Monthly Rent ÷ Days in Month) × Days Remaining. The next invoice will be for the full month.

Can I modify lease terms after creation?

Active leases have limited modifiable fields to maintain legal integrity. You can update contact information and notes. For significant changes (rent amount, end date), you'll need to create a lease amendment or renewal. This ensures both parties have clear records of all agreements.

How do I handle lease renewals?

Go to Leases and select the lease approaching its end date. Click 'Renewal Options' to create a renewal with updated terms. The tenant will receive a notification to review and accept the new terms. The renewal maintains the full payment history from the original lease.

What happens when I need to end a lease early?

Navigate to Leases, select the active lease, and choose 'Terminate Lease'. You'll be guided through the termination process including final payment calculation, deposit return details, and move-out date. Both parties receive documentation of the termination agreement.

What happens when a tenant requests termination?

When a tenant submits a termination request, you'll receive an email notification with all the details. Go to the tenant's lease page and click 'Review Termination'. You can add deposit deductions, early termination penalties if applicable, and add notes before approving or rejecting the request.

How is the deposit handled during termination?

During termination review, you'll see a full deposit reconciliation view. This shows the original deposit, any deductions you add (for damages, cleaning, unpaid rent), early termination penalties if applicable, and the final refund amount. Both you and the tenant receive the breakdown via email.

What does 'In Notice' mean on my Leases page?

'In Notice' means the tenant has submitted (or you have approved) a termination notice and the lease is in its notice period. The tenant is still legally occupying the property — rent continues normally until the confirmed vacate date. Use the Leases filter to see all notice-period leases at a glance.

Can I list my property while a tenant is still in their notice period?

Yes — in most jurisdictions this is permitted. Go to Leases, find the lease marked 'In Notice', and click 'List During Notice'. The marketplace listing will show an 'Available from [date]' badge aligned with the tenant's vacate date. Your tenant will receive a privacy-first notification that the property may be shown. Note: this option is hidden for jurisdictions where listing during notice is not permitted (e.g. Japan, Netherlands, Germany).

How do I confirm a tenant has moved out?

Once the tenant's vacate date arrives and they have physically left, go to Leases, open the lease, and click 'Confirm Vacate'. This completes the termination, sets the tenant status to Inactive, and marks the property as Available — ready for your next tenant or marketplace listing. If the tenant moved out early, tick 'Early Vacate' when confirming.

How do I add rent-free periods or discounts?

During lease creation, you can specify rent-free periods (e.g., first month free) or ongoing discounts. These are clearly documented in the lease summary and reflected in the generated invoices.

How do I know when rent has been paid?

You'll receive a notification when a tenant submits payment proof. It opens Invoices, on Pending Confirmation, for that invoice. The review shows the amount due and the proof they uploaded. Choose Confirm Full Payment once you see the money in your bank account.

How do I record a cash or bank transfer payment?

On Invoices, open More options on the invoice and choose Record payment received. Say how the money reached you and the date you received it. PremioKey records the amount already on that invoice. It does not see your bank account.

Can tenants make partial payments?

Yes, partial payments are supported. When a tenant pays less than the full amount, the remaining balance is tracked. You can see the payment breakdown on each invoice including all partial payments made toward that invoice.

How are late payments handled?

Late payments are flagged automatically when past the due date. You'll see them highlighted in your dashboard and payment lists. You can set up late fee policies during lease creation that will automatically apply to overdue invoices.
